Hiring: Assistant to Executive Director(Volunteer) (Beijing)

Looking for a volunteer position with a fast growing non-profit in Beijing? We are a mental health focused organization promoting awareness for depression and bipolar disorder in Beijing. Additionally, we provide social support to the international community residing in Beijing.
•The Assistant to Executive Director plays a key role in supporting our Executive director and helping the CandleX internal team
•The Assistant to Executive Director will provide support in day-to-day task by performing administrative tasks relating to the goals and needs of the Executive Director
Reports to: Director of CandleX
Staff directly interact to this post: CandleX internal team, external partners, organisations, schools and media
Administrative support for Executive Director
•Work directly with the Executive Director, ensuring that all her administrative needs and proactively managed
•Manage internal and external meetings/appointments, liaising with internal and external parties
•Provide assistance in note-taking during meetings
•Manage the activities of the CandleX and report them to the Executive Director
Manage connections with external partners for CandleX key events
•Establish connections with other organisations/groups/companies around Beijing for potential collaboration
•Liaise with external organisations for smooth organisation of the events
General Operational Support
•Assist in writing and editing social media communications, event reviews
•Support other team’s work when necessary
•Direct support during the events
•Holds self-accountable for making decisions, managing resources efficiently, achieving and role modelling mental health project values
•Organisation and orientation to details
•Keeps information organised and accessible
•Works systematically and efficiently, and manages time well
•Ability to understand instructions and perform them well in-detail
•Builds and maintains effective relationships, with their team, colleagues, members and external partners and supporters
•Ability to work both independently and in a team
•Approachable, good listener, easy to talk to
•Willingness and ability to take up several tasks and projects at the same time
•Delivery of high-quality results under tight deadlines
•Honest, encourages openness and transparency

•Willing and be able to work on the weekends and sometimes late evenings ( minimum of 10 hours a week)
•Ability to follow directions, detail oriented, and can solve problems independently
•A flexible approach to work with good time management skills and the ability to prioritise work and meet deadlines
•Strong communication, analytical and negotiation skills Able to carry out all appointed work in a non-political, non-religious and non-discriminatory manner
•No professional background of any kind is required
•A sincere care and passion for mental health is required
•Fluent in English both spoken and written with good writing skills for social media communications
•Ability to operate within a predominantly administratively self-servicing environment. Knowledge of the project management cycle.
•Fluent in spoken Chinese is highly desired (Chinese native speakers with high English proficiency is highly desired)
•An understanding of and commitment to, the aims of CandleX as an organisation working for social change and active in the promotion of the mental well-being for all.
•A commitment to support for cross-organisational initiatives and to team working and understanding of how to contribute to this.

Please be noted that all volunteer positions are not funded. We will provide you with a platform to grow, and offer personal capacity hands-on training, and workshop training for project management. You will also receive a certification for your volunteerism upon request.
