Event Marketing Specialist (Entry Level)
The event marketing specialist will work closely with the executive director and programs committee to market and organize an average of two chamber events each month. The specialist will also be responsible for creating, maintaining and implementing the chamber's program strategy, as well as invoicing (i.e. point of sale) and other event accounting duties.
Assists in all aspects of event planning and administration, including venue negotiations, food and beverage coordination and orders, coordination of supplies and audiovisual equipment, event signs, etc.
Organizes an annual program schedule and implements it
Finds appropriate and relevant speakers, as well as works to help book travel, lodging, etc. for these speakers
Works with executive director to market each event
Creates and revises room layouts for events as needed
Proposes new ideas to improve the event planning and implementation process
Serves as liaison with vendors on event-related matters
Assists with managing on-site production and clean-up for events as necessary
Prepares name tags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
Coordinates venue payments with executive director and closes out all events as needed
Works with executive director to ensure proper invoicing and collection of payments
Serves as events coordinator for the executive director and programs committee to ensure seamless execution of mailings and other communications initiatives in support of the chamber's communications strategy
Collaborates with executive director to ensure a fully functioning chamber
Desired Skills and Experience
One to three years of relevant experience
Bachelor's degree in marketing or communications preferred
Knowledge and fluency in Chinese language and culture
Proven record of organizing and planning successful events
Individual who keeps up with trade shows and industry events preferred
Demonstrates excellent verbal and written communication skills
Demonstrates excellent interpersonal skills
Proficient using the latest versions of Microsoft Word, Excel, PowerPoint; with email and web marketing knowledge
Demonstrates the ability to collaborate internally with staff and management
Demonstrates the ability to collaborate externally
Demonstrates the ability to meet deadlines in a fast-paced environment
Demonstrates the ability to interpret complex information
Demonstrates the ability to work in other duties (i.e. accounting) as needed
Ability to manage multiple projects and work assignments from more than one co-worker
Detail-oriented and able to maintain a high level of ownership and accuracy on all work activities
