Administrative Assistant position available (Houston)

WE ARE LOOKING TO HIRE:
EXECUTIVE ADMINISTRATIVE ASSISTANT

Small international investment firm in the Galleria area is currently looking for an Executive administrative assistant, experienced in the area of finance, communicating with executives and able to work on a variety of tasks in any given time, fast-paced role supporting the CEO in a day to day administrative functions.
Responsibilities:
-Schedule meetings and appointments for Managing Partner
-Ensures the calendaring of company business meetings, internal and external board commitments, business travel, training and personal calendar notices for the CEO
-Manage calendar, expenses and Complex travel organization for Managing Partner
-Work together with finance department and CPA to ensure a smooth tax filing for various entities
-Work together with finance to ensure that all items are invoiced and paid on time
-Organize in-house or off-site activities/meetings as needed
-On boarding of new hires
-Serve as the point person for office manager duties
oMaintain the office condition and arrange necessary maintenance with landlord
oAble to monitor complex international travel arrangements with highly organize skills
oOrganize office operations and procedures
oMailing
oLiaise with vendors and contractors, negotiate prices
oOrganize IT items if necessary, e.g. phone set-up, computers etc.
oDocument filing, storage and retrieval including offsite files.
oAddress employee queries regarding office management issues
oErrands and shopping office supplies
Requirements:
-Associate’s or Bachelor degree in accounting, finance or international business
-At least 5 years’ experience as an executive assistant/office manager
-Impeccable German (vocal and written) – hard requirement
-Perfect written and vocal English
-Reliable, Attention to detail and excellent proofreading skills
-Excellent IT skills (MS Word, Excel, Power Point)
-Excellent time management and organize
-Ability to work under pressure
-High level of professionalism and ability to work on complex and highly sensitive tasks
-Impeccable manners and style
-Must be a planner and lead by example
