The focus of the role of Multilingual Medical Information Assistant at Professional Information is to provide comprehensive administrative support to the Medical Information Enquiry Handling team.

The core activity of Professional Information is enquiry handling; acting on behalf of a broad mix of pharmaceutical companies to help them to deliver the service to high standards of quality and efficiency. The company currently manages enquiries on behalf of Protected content companies, including 8 out of the 10 largest global pharmaceutical companies.

Job Description

Main purpose of the job

The focus of the role of Multilingual Medical Information Assistant at Professional Information is to provide comprehensive administrative support to the Medical Information Enquiry Handling team.

Key responsibilities

• Typing and formatting Medical Information (MI) correspondence (letters, faxes, emails). Then checking the quality of correspondence produced before it is passed to the MI enquiry handling teams.

• Assembling enclosures and attachments for MI correspondence.

• Translation of work from German to English and vice a versa and checking the quality of the translations.

• Distributing email enquiries as required from a general inbox to Multilingual Medical Information Officers (ML-MIOs).

• Logging MI enquiries into the logging database under guidance of ML-MIOs.

• Creating data documents (e.g. standard Q & As to be used by call handlers) from data provided, as required by ML-MIOs.

• Performing weekly checks of letters, database fields and other functions related to quality control.

• Regular archiving of correspondence and other paperwork generated by the activities of the ML-MIOs.

• General administrative duties such as filing and shredding.

• Performing other medical Information and administrative functions as delegated by the Manager.

Ideal Candidate Profile

• Mother tongue: German

• Fluent in English

• At least 5 GCSEs or equivalent including science.

• Previous experience of working in an administration role

• Good communication skills.

• Accuracy and attention to detail.

• Pleasant and professional telephone manner.

• Good interpersonal and team-working skills.

• Computer literacy (MS Office).

• Own transport is essential as Professional Information is in a rural location with limited public transport.

Employment terms and conditions

Terms and conditions of employment will be discussed in detail at interview, but the basic package on offer comprises the following:

• 37.5 hours working week, Monday - Friday. Hours are normally 8am-4.30pm.

• Salary commensurate with qualifications and experience.

• 24 days annual holiday, increasing with length of service.
