LIST OF DUTIES:
• To perform general secretarial duties including the taking of notes, typing, filing/safe-keeping, classification and retrieval of official records and documents;
• To provide administrative support in general administration and procurement;
• To translate documents from Russian to English and from English to Russian;
• To ensure the accuracy, completeness and timeliness of processes/activities performed at the Mission;
• To assist in the organisation of meetings and official functions;
• To receive, make or transmit telephone calls;
• To provide information (e.g. visa & passport procedures) to the general public and to respond to inquiries according to established guidelines;
• To undertake research in connection with the activities of the Mission and submit reports, as and when required;
• To ensure proper and timely submission of accurate returns (telephone returns, medical expenses, motor vehicles, leave);
• To assist in all administrative processes relating to procurement (purchase of stationary, office equipment, household items, etc);
• To ensure that stocks (office sundries & washing materials, etc) are maintained;
• To update the inventory sheets for the Embassy and residences of diplomatic staff;
• To make use of Information and Communication Technology (ICT) in the performance of duties;
• Photocopying non-finance related documents and operating standard office machines such as telefax machine;
• To perform such other duties directly related to the main duties listed above.

CANDIDATE PROFILE
• Previous experience at the Embassy will be an advantage
• Have a good knowledge of the Government and Embassy procedures for the conduct of its business
• English and Russian language proficiency (French is an advantage)
• Minimum Higher Secondary Education
• Possess good analytical, technical and interpersonal skills;
• Have the ability to organise and prioritise workload; and
• Ability to work under pressure, on own initiative and as a member of a team.
