Need Executive Assistant, Mumbai

Seeking a talented and dynamic professional to support the CEO’s office. The Executive Assistant provides comprehensive administrative and operational support, serves as a key liaison on behalf of the CEO’s Office to a variety of internal and external stakeholders and individuals, EA also works on strategic projects. Working under the direct supervision of the CEO, the Executive Assistant helps ensure the Executive Office is run in an organized, efficient, and professional manner. Also EA acts as a program manager for multiple projects and activities. This role is critical to the success of the organization as a whole. Role requires extensive and very frequent domestic and international travel.

1) Responsible for supporting all aspects of the office's operations:
a. Anticipate the day to day needs of the CEO, making any possible allowances for a fast-paced, rapidly changing schedule
b. Serve as a liaison to the CEO for all levels of staff and external constituencies
c. Maintain and manage the calendar volume, and communicate with internal and external executives, assistants, and other individuals to coordinate meetings
2) Program Management
a. Be on top of various internal and external projects/activities/strategic initiatives from program management perspective. One stop source of information for the CEO. Coordinate, Communicate, Collect, Collate and present information/status/metrics
b. Managing confidential and proprietary information and workflows
c. Participate in strategic planning and projects as program manager
3) Logistics and Admin
a. Perform general administrative duties such as correspondence, mailings or other communication for and from internal and external constituents
b. Manage all travel arrangements (including the preparation of comprehensive travel itineraries) and other reservations
c. Prepare and submit expense reports, order office supplies, and support other projects as necessary
d. Provide back-up support for other executive office assistants (e.g. supporting meetings, answering phones, etc.)
What are we looking for?
1) Bachelor’s degree (MBA or other Master’s degree preferred)
2) Proficient with word processing, reporting and analytics (advanced Excel skills preferred)
3) Ability to work in different time zones, specifically US EST and IST. Prompt, responsive and almost always available. Ability to handle high pressure and extended work hours
4) Professional and personable: ability to interact professionally with a wide range of internal and external stakeholder
5) Detail-oriented: highly organized with strong attention to detail, effectively juggles, prioritizes and plans work activities and uses time efficiently
6) Effective communicator: articulate verbally and in writing, listens carefully, and proactively seeks clarity
7) Ability to expeditiously solve problems, exercise sound judgment, and remain poised in a fast-paced, high-pressure environment
8) Initiative: not only anticipates principals’ needs but proactively searches for how things can be improved
9) Team player: gains trust and builds rapport up, down, and across the organization
10) Demonstrable experience supporting a senior level executive a plus
