(Part time vacancy – 40 to 60 %)

General description of the job

In order to help the organisation to optimise the administrative processes, we are looking for a part-time assistant who will be in charge of three task areas:

- Office management
- Support for accounting work
- Support for marketing tasks

The position reports directly to the Managing Director.

Start: April 1st or earlier

Main tasks:

Office Management
- Contact with the Regie
- Purchase of office supplies
- Responsible for phone and internet working smoothly
- Check all contracts (tel, internet, mobile, etc... are up to date and the most cost-effective)
- Make sure all payments are made on time
- Management of cleaning staff
- Oversee maintenance of furniture and machines
- Booking of meeting room


Support for the accounting and administrative work
- Receptionist for visiting clients
- File bank statement, invoices and receipts
- File of client documents
- Open and file incoming mail
- Prepare all documents for accounting
- Create, print and manage client documents
- Type up confidential reports

Support for the marketing tasks
- Keep the client database up to date
- Optimisation of website advertising / ad words, etc
- Send correspondence and gifts to clients, when appropriate

Skills required:

- Good command of Word, Excel, Powerpoint, Internet browsers and current office software
- Fluent English (written and spoken); German fluent or native would be a great asset; French useful but not essential
- Curiosity and adaptability to learn and use new and varied things
- Ability to anticipate the customer’s needs
- Great attention to detail
- Ability to work on own initiative and without constant supervision
- Discretion and ability to maintain confidentiality

Experience required:

- Having previously worked as an assistant
- Work experience in an international environment a must
- Human Resources and Marketing environment knowledge preferred but not essential
