Executive Assistant / Office Administrator (Limassol)

Duties include providing support to our managers and employees, assisting in daily sales administration and office needs.
The responsibilities include order processing, making travel and meeting arrangements, preparing reports and maintaining appropriate databases. The ideal candidate should have excellent English language oral and written communication skills and be able to organize their work using tools, like MS Excel and accountancy software.

Responsibilities:
•Inputting data and information on to accounting software
•General sales administration and office duties
•General order processing
•Dealing with customer inquiries and orders
•Processing email and web orders
•Answering the telephone, taking messages and directing calls
•Writing and distributing email and other correspondence
•First draft of budget reconciliations, where appropriate
•Issuing invoices and following up as required
•Maintaining diaries and arranging appointments, arranging travel
•Writing, preparing and collating scheduled reports
•Conducting research as needed by senior executives
•Managing databases e.g. CRM, updating any client information as it change
•Managing any projects that need clerical work
•Producing Power Point presentations senior executives
•Coordinating mail-shots and similar publicity tasks
•Implementing new procedures and administrative systems
•Logging or processing bills and expenses
•Handle administrative requests and queries from senior managers
•Ensuring office supplies and other materials are maintained
Requirements
•Proven experience as an Office Administrator (minimum of 5 years)
•Knowledge of office management systems and procedures
•Knowledge of accounting software
•Proficiency in MS Office Protected content Excel and MS PowerPoint, in particular)
•Excellent time management skills and the ability to prioritise work
•Attention to detail and problem solving skills
•Excellent English language written and verbal communication skills
•German and/or Arabic language skills is an asset
•Strong organizational skills with the ability to multi-task
